Personal Information Protection Policy
Niterra Co., Ltd. and its domestic group companies (hereinafter collectively referred to as “our Group” (please refer to this page for more details)) recognize the importance of Personal Information and have established and will strictly comply with this Privacy Policy in order to ensure proper acquisition, use, and security management of Personal Information.
1.Personal Information
For the purpose of this Privacy Policy, “Personal Information” refers to names, dates of birth, ages, occupations, addresses, telephone numbers, email addresses, IP addresses, cookies, IDs and other information that are provided by customers, business partners, shareholders, employees (including job applicants and former employees) and all other individuals involved in the business activities of our Group (hereinafter referred to as the “party concerned”) and that can identify the party concerned.
2.Appropriate Acquisition of Personal Information
Our Group acquires Personal Information of the party concerned by appropriate and fair means to the extent necessary for the business implementation of our Group.
3. Purpose of Use of Personal Information
Our Group uses Personal Information of the party concerned only within the scope of the purposes of use notified to the party concerned at the time of acquisition and the following purposes of use:
- Provision and maintenance of products and services that our Group deals in (hereinafter the “Products, etc.”);
- Planning, development, manufacturing, sales, and installation of the Products, etc.;
- Provision of product information, material, sample concerning the Products, etc., and provision/guidance of campaigns and various events;
- Research and analysis of surveys, etc. concerning the Products, etc.;
- Responding to inquiries, feedback, and requests from customers;
- Business-related communications with business partners, and maintenance and establishment of business relations;
- Sending notices of calling of shareholders meetings, etc., handling dividend payment procedures, enabling shareholders to exercise their rights in accordance with applicable laws and regulations, and performing obligations owed to shareholders of our Group;
- Employment and personnel management of employees, etc., and implementation and development of human resource management initiatives through statistics and analysis of employee information;
- Welfare benefits for employees, etc.; and
- Use of employee information that is processed so that specific individuals cannot be identified, as materials for the implementation and development of human resource management initiatives through statistics and analysis.
4.Joint Use of Personal Information
Our Group companies may jointly use, within the scope of the purposes of use set forth in Section 3 above, the name, address, place of employment, job title, and information relating to purchase history and trends of the party concerned (excluding Personal Information of shareholders). With respect to employees, etc. of our Group, our Group companies may, in addition to the above information, jointly use their career history, family composition, facial image information, and information relating to employment, personnel management, welfare benefits, and human resource management (including statistical and analytical results, as well as information used for such analysis).

5.Provision of Personal Information to a Third Party
Our Group does not provide or disclose any Personal Information of the party concerned except when:
- consent of the party concerned to provide or disclose Personal Information is obtained;
- required by laws and regulations;
- entrusting handling of Personal Information of the party concerned within the extent necessary to achieve the purpose of use;
- using jointly; and
- Personal Information is provided as a result of the succession of business in a merger or otherwise
6.Entrustment of Personal Information
Our Group may entrust the handling of Personal Information of the party concerned to a third party to the extent necessary to achieve the purposes of use. In this case, our Group shall appropriately select and supervise a trustee to ensure the secure management of the Personal Information.
7.Management of Personal Information
In order to protect Personal Information held by our Group, our Group has established a management framework to prevent any leaks, falsification, loss, damage, unauthorized access and other information security risks. Our Group regularly reviews this management framework and continuously endeavors to improve it.
Additionally, our Group takes the following security measures for the handling of Personal Information of our customers.
- A responsible person for the handling of Personal Information shall be appointed.
- Employees who handle Personal Information and the scope of Personal Information handled by such employees shall be clearly defined.
- Training on the handling of Personal Information shall be provided to employees on a regular basis.
- Restrictions shall be placed in the areas where Personal Information is handled, including entry and exit control for employees and limitations on the equipment used.
- Access control shall be implemented to limit the scope of persons in charge and Personal Information handled.
8.Disclosure, Correction, Deletion, or Exercise of other Rights concerning Personal Information

9.Personal Information of Party Concerned Under 16 Years of Age
Personal Information of party concerned who is under 16 years of age must be provided with the consent of a parent or custodian.
10.Revision of Privacy Policy
Our Group may revise this Privacy Policy. Please check as needed.
